Position Description - Operations Manager

The BuildHer Collective Operations Manager is the lynchpin for our busy team, can move at lightning speed, manages systems like a pro and is a fierce brand guardian.

1. Administration and systems management
  • Show off your organisational superpowers by managing incoming calls, emails, and correspondence with lightning-fast response times.
  • Schedule and coordinate team deliverables and content production with flawless precision.
  • Don your financial cape and assist with basic accounting tasks, ensuring our finances stay in tip-top shape.
  • Manage updates and troubleshooting for our website and membership portal.
  • Utilise your impeccable record-keeping skills to maintain accurate and up-to date databases, records, and filing systems.
  • Keep records and databases up to date, ensuring confidentiality and accuracy at all times.
  • Develop and implement process/systems improvement as required by the business. Be proactive in finding opportunities for us to do things in better ways and lead the team in those changes.
  • Take ownership of office management, including requirements for our gorgeous studio-office-event space.
2. Content management
  • Manage team deliverables and content outputs, including educational materials, social media, events content, website updates.
  • Use data and market insights to provide strategic guidance on content timelines and marketing activities.
  • Brief internal team members and external partners regarding new content creation and manage the feedback, approval, and publication processes.
  • Craft captivating documents, reports, and presentations - put your incredible attention-to-detail to work when editing and proofing materials.
  • Act as our brand ambassador and guardian across all materials and platforms.
  • Conduct tracking and analysis of content performance across platforms, identifying areas of high/low engagement and maintaining flexibility to audience needs.
3. Event management
  • Develop, implement, and communicate our member events schedule including, house tours, photoshoots, supplier events, educational events and webinars.
  • Conduct all logistical event management including catering, delegate management, venue management and AV requirements.
  • Conduct venue searches and management when required (most events take place within our Northcote studio).
  • Manage our simple yet effective audio-visual set up for in person and hybrid (live-streamed) events.
  • Manage team resourcing to ensure that all events are set up, hosted and packed-down with adequate staffing.
  • Be a welcoming ambassador and hospitality queen for our members and guests.
4. Client relations
  • Embrace your gift for building extraordinary relationships with clients, utilising your supercharged communication skills to provide exceptional service.
  • Be the beacon of reliability as the go-to point of contact for client inquiries, delivering accurate and timely information with a smile.
  • Conquer client concerns or issues with your problem-solving prowess, turning challenges into triumphs and ensuring client satisfaction reaches new heights.
  • Join forces with our sales team to nurture existing client relationships, uncover new opportunities, and drive our growth to unprecedented levels.
  • Possess an infectious enthusiasm and a passion for making administrative tasks exciting and fun.
  • Exhibit expert-level skills in office software and be willing to learn to master our systems and platforms.
  • Communicate with the flair of a true wordsmith, captivating audiences with your written and verbal skills.

This job is for a TEAM PLAYER who does not mind getting stuck in and doing anything. We all pitch in, and we will expect the same of you. The environment is fast paced, and you will need to think on your feet and be flexible in your approach – we like to try new things and adapt to our environment. It is a fun a friendly office, currently we are all women and like to laugh a lot.

This role requires 5 days/week, at 0.8 or full-time hours, with 1-2 days from home per week and the rest from our lovely Northcote studio. Occasional weekend and evening hours will be required according to our event schedule.
